Consent Policy & Wording
Effective 1 October 2026
Why this exists. Krivollo is used to contact people — by phone, SMS, email and video — and to record and transcribe those conversations. Getting consent right protects those people, our customers and us. This policy explains (1) how we get consent for our own processing, (2) what we require of customers, (3) the tools Krivollo provides, and (4) wording customers can adapt.
The wording below is a practical starting point written for Australian law. It is not legal advice — customers should have it reviewed for their own industry and for every place they operate.
1. Principles
Consent is only valid in Krivollo if it is:
- Informed — the person is told who is collecting the information, what for, and how to opt out;
- Voluntary — not a pre-ticked box, not bundled as a condition of something unrelated, and not obtained under pressure;
- Specific and current — for the particular channel and purpose (consent to email is not consent to SMS), and refreshed if the purpose changes;
- Given by someone with capacity — an adult able to understand it; and
- Recorded — with how, when and the wording used, so it can be proved later.
Withdrawing consent must be as easy as giving it, and must be honoured promptly.
2. Consent Krivollo itself obtains
| Situation | What we do |
|---|---|
| Creating a workspace | The person creating it must actively agree to the Terms of Service and acknowledge the Privacy Policy. We record which version they accepted and when. |
| Signing in | The sign-in page states that by continuing you agree to the Terms and acknowledge the Privacy Policy, with links to both. |
| Cookies | We set only strictly necessary and preference storage, so no consent banner is needed. We will ask first before using anything non-essential. |
| Marketing email | We do not send marketing email. If we start, it will be opt-in (or as the Spam Act otherwise permits) with a working unsubscribe. |
| Website assistant | It identifies itself as an AI and asks visitors not to share sensitive information. |
| Push notifications and microphone | Requested through your browser's own permission prompt, only when you use a feature that needs them. |
3. What we require of customers
When a customer uses Krivollo to collect information about people or to contact them, the customer is responsible for having a lawful basis and any consent required. Under our Terms of Service, customers must:
- Give a collection notice. Tell people, at or before collection, who the customer is, why the information is collected, who it may go to (including overseas), and how to access it or complain (Australian Privacy Principle 5).
- Check purchased or supplied leads. Before contacting a lead from a supplier, be satisfied the person consented to being contacted by the customer (or a described class of business) for this purpose. Record the supplier’s consent wording against the lead.
- Email and SMS: consent, identify, unsubscribe. Commercial electronic messages need express or properly inferred consent, must identify the sender, and must contain a functional unsubscribe that is honoured within 5 business days (Spam Act 2003).
- Telemarketing calls. Wash numbers against the Do Not Call Register unless the person has consented, and keep to the permitted calling hours — generally 9am–8pm weekdays and 9am–5pm Saturdays, with no calls on Sundays or national public holidays — and the other rules in the telemarketing industry standard.
- Recording. Tell people at the start of a call or meeting that it will be recorded (and transcribed or analysed by AI, if it will be), and obtain consent where the law of any party’s location requires it. Laws differ between states and countries; where in doubt, get express consent from everyone and stop recording if anyone objects.
- AI. Do not let people believe they are dealing with a human when they are dealing with an AI, and disclose AI-generated voice or video.
- Sensitive information. Collect health, financial-hardship or other sensitive information only when necessary and with express consent.
- Sharing with partners. Get consent before passing a person’s details to a referral partner or another business, unless they would reasonably expect it and the law allows it.
- Honour opt-outs. Add anyone who asks not to be contacted to the workspace’s do-not-contact list straight away.
4. Tools Krivollo provides
- Consent records on each lead — method, time and the exact wording — plus a per-person consent time for second parties.
- Do-not-contact and suppression lists checked before calls, SMS and email, including phone-only entries.
- Unsubscribe links on automated emails that add the address to the do-not-email list in one click.
- Calling-hours and Do Not Call Register washing rules, with the option to enforce them or only warn.
- Recording disclosure scripts with two modes: notice (read the disclosure and record the answer) or gate (do not record or transcribe unless the person agrees). Customers operating where all-party consent is required should use gate.
- A visible recording indicator in video meetings.
- Human approval for AI-drafted messages by default, and compliance scanning that holds messages containing risky claims.
These tools support compliance; configuring and using them correctly is the customer’s responsibility.
5. Approved wording
Replace the bracketed text. Keep the wording close to the original — every element is there for a reason — and save the final version in Krivollo so it is recorded against each consent.
☐ I agree that [Business name] may contact me about [purpose, e.g. my home-loan enquiry] by phone, SMS and email, including at the number I've provided even if it is on the Do Not Call Register. I can opt out at any time. I have read the [Privacy Collection Notice — link].
[Business name] collects the details you provide so we can respond to your enquiry and [purpose]. If you don't provide them we may not be able to help you. We may share them with our service providers (including Krivollo, the platform we use, and its providers, some of which are located in the United States) and, only with your agreement, with [partner types]. Our Privacy Policy at [link] explains how to access or correct your information or make a complaint.
"Hi [name], it's [agent] from [Business name]. Just so you know, this call is recorded and transcribed for quality, training and record-keeping, and we use software to help take notes. Is that okay with you?" If they say no: "No problem — I've turned recording off." (Stop recording before continuing.)
"Before we start, I'd like to record and transcribe this call so we have an accurate record of what we discuss. Do I have your permission to record?" Record only after a clear "yes". Krivollo stores the answer with the call.
Invitation: "This meeting may be recorded and transcribed to provide you with an accurate summary. You'll be asked at the start and can say no." Start: "I'd like to record today's meeting so I can send you an accurate summary afterwards. Is everyone happy for me to start recording?"
Opt-in: "Reply YES to receive appointment reminders and updates from [Business name] by SMS. Reply STOP at any time to opt out." Every message: "[Business name]: [message]. Reply STOP to opt out."
You're receiving this because you [made an enquiry with / are a client of] [Business name], [address]. Unsubscribe [link] — you won't receive further marketing emails from us.
"Hi, I'm [assistant name], [Business name]'s automated assistant. I'm an AI, so I can answer common questions and book you in — a person can take over whenever you like."
"With your permission, I'll pass your name, phone number and [details] to [Partner name], a [type of business], so they can contact you about [purpose]. They'll handle your details under their own privacy policy. Is that okay?"
"Some of the questions I'll ask are about [your health / financial hardship]. You don't have to answer, and we'll only use your answers to [purpose]. Are you comfortable continuing?"
By signing electronically you agree to sign this document electronically, that your electronic signature has the same effect as a handwritten one, and that we record your name, email, IP address, device and the time you signed as evidence of signing.
6. Withdrawing consent
Anyone can withdraw consent by telling the business that contacted them — by replying STOP, using an unsubscribe link, or saying so on a call. Customers must record the withdrawal in Krivollo immediately. If you cannot reach the business, email privacy@krivollo.com and we will pass your request on.
7. If consent rules are breached
We may suspend messaging, calling or recording features, or a workspace, where we reasonably believe they are being used without the required consent — for example on credible complaints of spam or covert recording — and we will co-operate with regulators investigating misuse.
Krivollo is operated by [Krivollo legal entity name] (ABN [ABN to be confirmed]), [Registered business address, Victoria, Australia]. Questions about this document: privacy@krivollo.com.
